Overview

We have a part-time position open in our Richmond Service Center.  In addition to providing support pertaining to entering, maintaining, processing and the issuance of insurance or insurance-related documents, this position will also be our main receptionist. The role may also perform duties related to office technology, and/or the work of the department.  All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements.

 

**This position is 30 hours per week (M-F, 6 hours per day), but we can be somewhat flexible on the timing of the work hours.**

 

 

Responsibilities

  • File, locate, pull, and maintain underwriting policy and T-files. Perform underwriting file room support, including underwriting file purge. Create new business policy folders.
  • Produce various forms, reports, and correspondence. Proofreads typed material to ensure a quality product. Identifies errors and omissions in materials and expedites resolution. 
  • Receive, open, sort and distribute all USPS mail and faxes. Handle all certified mail including the mailing of conditional renewal and other time sensitive notices. Match certificates of mailings with cancellation notices and file in the appropriate policy file. Maintain and update the postage mail meter.
  • Type and transcribe information from various source documents utilizing word processing software. Maintain, update and print this information via word processing software. Proofread information to ensure accuracy and quality of work product. 
  • Set up AV equipment and room for Quarterly Meetings. Assemble and arrange policies, documents, manuals, presentations, and/or printed materials.
  • Process underwriting cancellations, reinstatements and non-renewals. Pull necessary forms in order to ensure accuracy and completeness of insurance information. Utilize PC to enter and verify data necessary to complete transactions. Search, update, assign, interpret, select and/or code items to be entered or extracted from a database.
  • Process and log premiums and checks. Reconciles accounts and secures checks according to company policy.
  • Perform general clerical duties such as photocopying, distributing faxes, and answering phones, assisting in other support functions. 
  • May act as IT liaison for branch; troubleshoot with Help Desk and handle swap outs when leases are up. May assist in supporting the resolution of technical computer operations equipment problems. May participate on corporate IT projects affecting the region, area, or department. May obtain equipment, security access, and mail box/printer clearance for new hires. Updates and maintains equipment inventory log.
  • Performs all other duties as assigned.

Qualifications

  • High school diploma preferred
  • 2-4 years of general office work including some experience in prioritizing work and meeting deadlines.
  • Must be proficient with a variety of Microsoft Office software including Word, PowerPoint, Outlook, and Excel.
  • Demonstrated ability to multitask.
  • Ability to communicate effectively with employees and agents/insureds.
  • High level of organizational skills
