Overview

Provides administrative support to all aspects of the training function including but not limited to: project administration, vendor coordination and administration, certification and awards programs, Agency Training, AMS Training and other Commercial Lines Underwriting programs. Assists with budget/database administration, tracking and reporting. All job duties and responsibilities must be carried out in compliance with legal and regulatory requirements.

Responsibilities

  • Maintains and aggregates data associated with internal and external training programs. Works collaboratively with managers, consultants, company and agency employees, internal presenters and outside vendors to execute and monitor program activities. Consults with outside educational institutions and Procurement, to secure contracts, statements of work and non-disclosure agreements. Provides administrative support as needed for the facilitation of training programs. 
  • Maintain an active role in the project administration associated with Conferences, Onboarding and Training programs. Designs and develops online registration for events. Reviews contracts and oversees all logistical resources associated with events. Administers course surveys to gather metrics and feedback.
  • Provides budget administration services including the review, payment and tracking of expenses by account code and program. Tracks program expenses and notes any variances from expected budget. Make suggestions for cost savings as related to Insurance Learning Service and Agency Development programs.
  • Coordinates with program owner on internal and external (Agency) training programs, which include creating project plans, vendor coordination, and expense management, tracking and reporting. Creates and maintains project files, spreadsheets, checklists and calendars.
  • Oversees logistics of Insurance Learning Services and Agency Development programs, Branchville and Regional. Maintains classroom calendars, employee and vendor travel itineraries, speaking arrangements, and internal and external program set-up (classroom setup, AV requirements, program materials, catering, lodging and transportation for employees and attendees). Records minutes at department/project meetings. 
  • Assist with administration of insurance education award and insurance certification programs and acts as an employee resource for program information. Tracks participation in programs for reporting and Human Resources feed. 
  • Perform role of administrator for technology platforms used by department, including, but not limited to: Survey Monkey, Insurance Certification database, SharePoint. Ensures data is accurate, available, and current. Provides assistance to employees. Maintains the Insurance Learning Services Department corporate intranet web page. Administers the Insurance Learning Services SharePoint site.
  • Use MS Office software to create, update, and prepare for distribution correspondence, memorandums, reports, agendas, articles, etc. Involved in job aid layout/formatting as well as editing PowerPoints and proofreading training materials.
  • May perform work associated with departmental initiatives including but not limited to: coordinating projects, organizing events, compiling data, reports, folders, and binders.

Qualifications

  • Good organizational skills. 
  • Excellent communication skills (verbal and written) including editing and proofreading skills.
  • Must be enthusiastic, a self-starter, detail oriented, and able to work independently. Must possess ability to understand departmental operations and procedures, and must be able to organize projects, prioritize workflow, and complete multiple tasks simultaneously and accurately.
  • Must maintain confidentially, exhibit good decision making, exercise independent judgment, initiative, and tact with dealing with management, supervisors, staff, and the general public.
  • Must possess: Strong PC skills, including direct experience with Microsoft Word, Outlook, PowerPoint, and Excel.
  • High School Diploma required.
  • College Degree a plus.
  • 2+ years of project administration experience preferred.
