Overview

The Talent Acquisition Administrator coordinates programs, processes, and services offered by the Talent Acquisition department. Oversee the workflow and administration of the full-cycle recruiting function and support the recruiting team to ensure departmental operations flow smoothly. Deals with a wide range of situations that require diplomacy, confidentiality and sensitivity. This individual must use independent judgment in completing activities and operates under general supervision.

Responsibilities

  • Schedule high volume of corporate, regional and remote interviews with candidates and interview teams; coordinating all candidate travel and ensuring strong communication in the process. Involves coordinating complex schedules and last minute changes.
  • Provide administrative and logistical support for various programs which may include the summer intern programs, University Relations, Trainee programs, etc. 
  • Create and email offer letters and coordinate pre-hire / 1st day on-boarding activities, including coordination of drug screening, background checks, HRIS on-boarding system activities, verifying successful completion of all activities with new hires, and coordinate ID badge issuance. 
  • Monitor and manage employee on-boarding microsite, recruitment related SharePoint site, and other shared information sites / drives.
  • Coordination of relocation process including obtaining signed payback agreements, entering information into relocation system, communicating with new hires / employees and processing requests as required.
  • Process all recruiting related invoices such as vendors, agencies, background checks, drug screening for payment and post as entries to budget spreadsheets.
  • Initiate monthly hiring manager and new hire satisfaction surveys; tabulating, analyzing and communicating results. 
  • Provide assistance in processing of all immigration processes including visas, permanent residency sponsorships, etc. Track and maintain all immigration and visa renewal records. 
  • Support various recruiting projects such as employee on-boarding program, new background-check vendor selection, system integrations, etc.
  • Continually analyzing talent acquisition processes for improvement opportunities and making recommendations.
  • Heavy interaction with all levels of employees, vendors, candidates and applicants that requires thoughtful, diplomatic, sensitive and confidential communication and actions. 

Qualifications

  • 3 to 5 years administrative/HR experience
  • Proficiency with MS Office, specifically Outlook, Word, PowerPoint and Excel
  • Must possess superior customer service and communication skills. 
  • Highly organized with strong time management skills
  • Ability to maintain a high degree of professionalism and confidentiality.
  • Must be detail oriented and able to work in a fast paced environment.
  • College degree a plus.
