Overview

Provides remote litigation support for California Commercial General Liability and Construction Defect defense litigation; focusing on pleadings, discovery, discovery-related motions, substantive motions, briefs, memoranda and all other litigation court filings. This position has no direct reports. All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements. This role supports two California attorneys that are working remotely in a different location.

Responsibilities

  • Prepare draft answers and cross-complaints, demurrers and motions to strike.
  • Prepare draft written discovery, interrogatories, document production demands, requests for admission and deposition notices to be propounded upon plaintiffs and cross- complainants in accordance with office protocol.. 
  • Prepare draft responses to written discovery, interrogatories, replies to document production demands, and responses to requests for admission and deposition notices propounded upon clients.
  • Create, update, and prepare correspondence, pleadings, briefs, motions, memoranda, summaries, reports, etc. Proofread final work product to ensure high quality and compliance with office standards.
  • Relieve attorneys of routine administrative functions.
  • Process mail and answer telephone calls.
  • Summarize discovery received including drafting matrices’.
  • Summarize medical records received.
  • Work with experts on document review and scheduling.
  • Schedule IMEs.
  • Provide trial support as requested by assigned Attorney, in accordance with office protocol.
  • Manual and e court filings in all of the counties in California.
  • Outlook calendaring.
  • Scanning of all legal documents including pleadings, discovery, correspondence, etc.
  • Professional and personable direct client and vendor contact.
  • Maintain and coordinate attorneys’ calendar or diary.
  • Arrange and coordinate travel or meeting plans for attorneys.
  • Maintain filing system and other departmental records. In offices without a Law Office Administrator or Lead Legal Secretary, may assist the managing attorney in ordering supplies, may serve as IT and vendor liaison and CLMS champion, and may be assigned other administrative tasks as needed to support the team. 
  • Open, purge, retrieve, organize and close paper legal files as directed.
  • Communicate with claims, clients, opposing counsel and the courts.
  • Provide other assistance as requested by Regional Managing Attorney.

Qualifications

  • Proficiency in Microsoft Word and Outlook required. 
  • Typing/dictation skill required. 
  • Excel and legal case management software required. 
  • Excellent customer service, writing, and oral communication skills required.
  • High school diploma or equivalent required. College degree or business school preferred. 
  • At least 10 years legal secretary experience in the jurisdiction required.
