  • Overview

    Manage contract administration process including:  reviewing, modifying, creating, finalizing, logging and archiving all contracts submitted by business units in accordance with Contract Administration Policy. Review, negotiate, edit and approve contracts in collaboration with the contracting business unit, consulting as necessary with the Manager, Contracts Administration and Corporate Counsel on significant or legally-sensitive matters.  Maintain contract repository, database, and indexing system. Consult for the Request for Proposal (RFP) process, including RFP terms & conditions amendment and modifications .  All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements.

    Responsibilities

    • Review and edit a wide range of contracts submitted by business units , including but not limited to contracts relating to hotel/event agreements, consulting and training agreements, software licensing and service agreements, and other types of supplier and vendor agreements. Coordinate interdepartmental review as applicable (i.e. IT Security review, Tax Review, Finance Review). Return reviewed agreements to business owners and respond to questions. Elevate issues and negotiations to Contracts Manager. Maintain the highest level of responsiveness and service to ensure all contracts submitted by business units are reviewed in a timely fashion.
    • Understand and be fluent in the Ariba system. Maintain contract repository, database and indexing system. Assist in the training of the business units in the Ariba contracting process. Demonstrate and answer questions as necessary in order to help facilitate the submission process.
    • Follow-up with business units regarding status of outstanding agreements, and field inquiries/questions from vendors and business units as to the status of existing contracts being reviewed or currently in archive.
    • Working with Corporate Counsel, maintain and update database of key contract terms and acceptable fall-back positions. 

    Qualifications

    • Proficiency with MS Office Suite applications, particularly Word and Excel
    • Knowledge of or experience working in Ariba Contract management system.
    • Exceptional communication skills.
    • Effective negotiation and interpersonal skills.
    • Strong analytical, organizational and process management skills, including the ability to assess and address contractual risks.
    • Demonstrated ability to independently prioritize and perform a variety of duties exercising a degree of creativity and latitude.
    • General familiarity with project management methodology and processes.
    • Ability to manage high volume workload.
    • College degree preferred.
    • 3+ years contract management experience in a regulated industry with increasing responsibility.
