  • Overview

    Selective is seeking a dynamic Executive Assistant who provides advanced secretarial and administrative support to senior executives in a well-organized and timely manner.  Prepares reports, manuals, agendas, and correspondence.  Maintains sensitive and confidential files, records, and information.  Gathers, compiles, analyzes, and conveys information pertaining to the investment department and its functions.  Handles all requests tactfully and confidentially.  All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements.


    • Scheduling and calendar management: Maintains and coordinates the CIO’s calendar, and coordinates with internal and external parties to schedule meetings, calls and videoconferencing. Coordinates travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations. Manages travel expense reporting. 
    • Reporting: Utilize MS Office to create, update, and prepare for distribution correspondence, memorandums, presentations, reports, agendas, binders, charts/graphs, logs, lists, worksheets, etc. Proofreads final work to ensure a high quality product. Oversee the production and distribution of quarterly management and Board reporting related to the Investment portfolio. 
    • Administrative: Maintains close and highly responsive relationship to the day-to-day activities of the CIO and broader Investment Team. Relieves the CIO of routine administrative duties. Screens telephone calls and takes messages. Maintain polite and professional communication via in-person, phone, e-mail, and mail to internal and external parties.
    • Maintain office: Liaise with internal facility management, the office property manager and various outside vendors. Maintains office supplies inventory.
    • File organization: Proficient at developing and carrying out an efficient documentation and filing system for electronic and paper documents. Maintains filing system and secures confidential information. Download and file electronic financial statements and correspondence from third party investment managers/GPs, and distribute to Investment Dept. and related internal constituents as needed.
    • Expense tracking: Assists with department expense budgeting and tracking. Responsible for inputting the budget into the budget system, processing invoices, tracking invoices to budget and following up with venders and internal staff to reconcile variances.
    • Team work: Must be able to establish and maintain congenial and dynamic relationships with various internal and external parties, including investment accounting, legal, assistants to CEO and President, other EA's and ES's, print services, facilities management, etc. Contribute to team effort by accomplishing related goals and objectives as needed. 


    • Executive Assistant for SVP-Chief Investment Officer – Familiarity with investment management environment e.g. dealing with investment managers, custodian banks, private equity general partners, performance reporting, investment compliance reports and related.Must be proficient at Microsoft Office, with an ability to become familiar with firm-specific programs and software.
    • Must be able to work independently and prioritize. 
    • Occasional overnight travel to Corporate Headquarters in Branchville, NJ is required. 
    • Experience exercising discretion and confidentiality with sensitive company information.
    • Attention to detail.
    • College degree preferred
    • 5+ years of senior executive secretarial experience 
    • Financial acumen a plus
