    Manage contract administration process including:  reviewing, modifying, creating, finalizing, logging and archiving all contracts submitted by business units in accordance with Contract Administration Policy. Review, negotiate, edit and approve contracts in collaboration with the contracting business unit, consulting as necessary with the Manager, Contracts Administration and Corporate Counsel on significant or legally-sensitive matters.  Maintain contract repository, database, and indexing system. Support the Request for Proposal (RFP) process, including RFP terms & conditions amendment and modifications.  All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements.

     

    Positon can be based in Branchville, NJ OR GlastonburyConnecticut

    Responsibilities

    • Review and edit a wide range of contracts submitted by business units, including but not limited to contracts relating to the licensing of software, consulting and service agreements; hotel/event agreements and other supplier and vendor agreements. Coordinate interdepartmental review as applicable (i.e. IT Security review, Tax Review, Finance Review). Return reviewed agreements to business owners and respond to questions. Elevate issues and negotiations to Contracts Manager. Maintain the highest level of responsiveness and service to ensure all contracts submitted by business units are reviewed in a timely fashion.
    • Primarily responsible for review of certain types of Hotel and event-related contracts. Responsible for maintaining accurate tracking of the receipt and use of event planner points awarded to the company
    • Primarily responsible for review of HR related contracts, (such as employment agency, speaker engagement, training and coaching contracts, etc.), Premium Audit, and Facilities contracts, along with general Statements of Work, Amendments and Change Requests. Additionally responsible for NDA and contract template completion, as requested by Business Units.
    • Maintain contract repository, database, and indexing system, including the Ariba system. Update and accurately maintain Contracts Administration spreadsheet, showing status of all contracts, from submission through execution.
    • RFP Process: Support the Request for Proposal (RFP) process, including terms and conditions updates and review of significant or legally-sensitive matters where appropriate.
    • Follow-up with business units regarding status of outstanding agreements, and field inquiries/questions from vendors and business units as to the status of existing contracts being reviewed or currently in archive.
    • Working with Corporate Counsel, maintain and update database of key contract terms and acceptable fall-back positions.
    • Understand and be fluent in the Ariba system. Assist in the development and conducting of webinars for company-wide training of the Ariba contracting process. Demonstrate and answer questions as necessary in order to help facilitate the submission process.
    • Assist Contract Manager with reviews of complex Agreements, such as Claims Services Agreements and IT Services Agreements, Software License Agreements, etc.
      Manage payment function of the monthly Real Estate rent roll. Review for accuracy and approve for payment. Rent payments in excess of $4M per year.
    • Assist the Contracts Manager, AVP of Facilities and outside counsel in the review and negotiation of tenant leases for Selective’s leased offices throughout the country.
    • Coordinate with Contracts Manager, if required, on special projects, such as the 5 year plan to review and renegotiate Legacy contracts.

    Qualifications

    • College degree required
    • Legal/Paralegal certification preferred
    • 7+ years contract management experience in a regulated industry with increasing responsibility
    • Proficiency with MS Office Suite applications, particularly Word and Exce l
    • Experience working in Ariba Contract management system
    • Exceptional communication skills
    • Team Player
    • Effective negot iation and interpersonal skills
    • Strong analytical, organizational and process management ski lls, inc luding the ability to assess and address contractual risks
    • Demonstrated ability to independently prioritize and perform a variety of duties exercising a degree of creativity and latitude
    • General famil iarity with project management methodology and processes
    • Ability to manage high volume workload
